My TalkTalk emails going to recipient spam folder

Hi,

Once a year, for several years, I have sent out invitations to an Annual Lunch for an association I help manage. The invitation consists of an email with a PDF attachment to be completed and returned. There are about 150 recipients and, having had issues previously with numbers, I now send out in batches of around 10 email addresses per batch. The email addresses are from a membership listing that has been maintained and updated continually over around 12 years., and they are all consenting members of the association.

This year a large number of recipients have complained to me that the invitation has gone directly to their 'spam' or 'junk' folder, making it possible they could miss the event.

Two questions -

1) What can I do to avoid my legitimate emails being treated as spam, when they certainly are not?

2) How can I write out to the recipient list to ask them to check their 'spam' folders without the chaser email also going into 'spam' and not being seen?

Any help would be much appreciated.

Hi @Dunx4 , please start your own thread as each case is considered unique and it is easier for support to be given to one person per thread and also less confusing.
To start your thread click the Browse button, then Help With Your Service and select the appropriate category. You will then see a Blue Button "Start A Topic"
Please also note that you should only post back on that thread and not start another on the same topic as multiple posts cause delay to you and others seeking help.
Thank you

Phili

I understand how important it is to ensure your messages reach their intended recipients. It appears that the main problem is occurring with recipients who have an '@btinternet.com' email address, as well as some others like '@uwclub.net'. This could indeed be related to spam filters or security settings

Email providers often implement various spam protection measures that can inadvertently block legitimate emails, especially if they detect unusual patterns or if the sending address has been flagged in the past.

Could you please try these following steps to see if it helps:

- Ensure that your emails do not contain any content that might be flagged as spam, such as excessive links or certain keywords.

- Ask your recipients to add your email address to their contact list or whitelist it in their email settings. This can help prevent your emails from being marked as spam.

- If possible, try sending emails from a different email address or domain to see if you are having the same issue.

Hello - thanks for your response. As far as I can tell, the main problem appears to be with recipients who have an '@btinternet.com' email address, although certainly one spam recipient has an '@uwclub.net'. Do you think it is spam guards on particular address types that are making it happen?

Hi @mikenich1 thank you for reaching out regarding the challenges you're facing with your Annual Lunch invitations. I understand how important it is to ensure that your emails reach your recipients without being filtered into spam or junk folders. Are you having this issue with all email addresses?
