Can't migrate emails to gmail

I left talktalk almost 2 years ago but I still use my talktalk email address as does my wife. Over the last month my wife received an email from talktalk to say that the account settings on her ipad were not secure and if she didn't update them she would lose access via her app. I checked her settings on her iphone and ipad and they were both as suggested by talktalk.

Although my emails (on android) are still syncing with talktalk, my wife's stopped updating on 28th January. She can access OK via webmail.

From googling, I now understand that talktalk want to charge £5/month to continue access. Why is this affecting her but not me?

She would like to migrate her emails to her gmail account but when she tries to set up her talktalk account in gmail it says either the username or password is incorrect so does not complete. What is the way out of this?

Hi BernieA, I've added your wife's email address to the list of those to be returned to normal function.

Just on the question of migration of 5GB of mail messages to Gmail.  The Google account offers 15GB of capacity shared across Mail, Google Drive and Google Photos storage. You can pay to upgrade the storage.

5GB of mail messages is probably 20,000 emails that may take you over 5 hours to skim read and review.

There are probably a few mail messages worth keeping so to avoid using up a third of the total Gmail storage I'd suggest selecting messages by sender and saving the important ones.

The Saga article is factually correct so long as the TalkTalk Mail account is not limited to webmail only access.

Limited to webmail only also means that the Gmail POP3 mail collection will not work. Neither will the Auto forward feature or Auto reply (Vacation notice) feature.

Gmail does not import mail messages directly which is why an email client like Thunderbird needs to be set up as an IMAP email account for Gmail and messages saved from TalkTalk Mail as eml files and then dragged and dropped into Thunderbird that will synchronise to the online Gmail Inbox.

If your TalkTalk Mail email account does have full access restored then the Gmail mail collection service will work. Make sure that Gmail is set to use TLS encryption security for that POP3 mail collection or TalkTalk will remove access. Note that the POP3 mail collection only collects from the Inbox. Not any other folder.

If you have saved mail in any other folder then save those messages to your computer direct from TalkTalk Mail webmail.

Hi Gondola,

Many thanks for your help so far. Lets just hope that the request is received positively.

Thans also for your info regards migrating emails from talktalk to Gmail. It does seem a bit complex in that there is a need to set up a further email client, Thunderbird, but I guess that is the only option.

I was seduced by this article by Saga which included:

"If you have opted to sign up with Gmail, you are in for a simple swap thanks to its Mail Fetcher feature. This imports all your old messages and then continues to bring in new mail sent to your other account."

I'm guessing this is factually incorrect as migrating 5GB of emails would never be so simple. True?

OK, I've passed that on to TalkTalk Support via their workflow.

Hi Gondola

I don't know how to find where to write private notes in my profile.

The iPhone and iPad are both capable of secure mail and in fact the iPhone is perfectly set up. If the iPad's SMTP outgoing server is also set up identically then you're not going to have any problems once TalkTalk restore full access. I'll make a request for TalkTalk to restore full access and that will be done next week.

Just put your wife's email address in your Community profile Private notes and save changes (if not already done).

Hi BernieA

TalkTalk will notify users in advance of TalkTalk Mail being limited to webmail only access if:

  • You're not a TalkTalk Consumer home broadband customer or MailPlus subscriber
Or the mailbox address is not added to an active customer MyAccount
  • Any device email software, email app, or mail collection service connects to your mailbox using insecure settings
Secure mail connections to your mailbox must all be made using a minimum of TLS 1.2 encryption security and sign in using the email address and email password
  • There's continued use of out of date email software, operating system or legacy email settings
We can advise on device and software compatibility and provide customer setup guides

Your wife's mailbox was clearly not using secure settings on a device or mail collection service connecting to her mailbox. That's what the TalkTalk logs show and why she received the notification.

She will not be able to set up mail collection via Gmail because all access has been withdrawn leaving only webmail access. So, she can access her email messages and send mail messages via webmail only.

Select here: Sign in to TalkTalk Mail

Enter her full TalkTalk Mail email address and password, select Sign in.

Your mailbox is not affected because either you're using secure settings already or because your mailbox will be included in a later batch for notification.

You say neither of you is a current TalkTalk customer so that means unless one of you subscribes to TalkTalk MailPlus, and add all mailboxes to the MailPlus MyAccount, the mailboxes will ultimately be restricted to webmail only and then if there's no subscription the mailboxes will be deleted after a notification to each that it will be permanently lost.

The way out, imminently, is to ensure you're both following secure settings and devices that do support secure mail. I'll provide guides below. If unsure about using devices tell me about what devices are in use, the model, the operating system and the email software version. I can request that mail access is fully restored if there's certainty about the settings that are set up. So, take screenshots and image edit to obscure the first part of the email address and upload here using the camera icon (desktop browser) picture icon (mobile browser) above this Reply area.  I'll advise on device compatibility and whether the settings are right for secure mail with TalkTalk Mail.

Do you or your wife wish to retain the TalkTalk email addresses for use on any supported devices?

Or do you just wish to migrate your email usage to Gmail? In which case do you just wish to notify your contacts that you're using a Gmail address and maybe move some old emails to the Gmail account?

You can save mail messages from TalkTalk Mail webmail as eml files that can be copied to Gmail by setting up the Gmail account in email client software like Thunderbird on a laptop or notebook. Email files (eml) are standard files that can be opened by most email clients.
